Excel or dedicated software for CNC quoting?
Your quoting Excel works — until it doesn't. Honest comparison between spreadsheet and dedicated software: when Excel is enough and when it's costing you margin.
The (honest) case for Excel
Let's say it right away: Excel is not the enemy. It's free (or almost), infinitely flexible, you already know it and for a shop with 5-10 quotes per month a well-built spreadsheet does the job. Many shops have spreadsheets refined over years of experience, with formulas that incorporate real trade knowledge.
Where Excel starts costing you money
Problems emerge with growth, and they're always the same five:
- ■ The formula only the owner knows: if whoever built the spreadsheet isn't there, quotes stop or come out wrong.
- ■ No drawing reading: dimensions must be transcribed by hand, 20-30 minutes per quote, with tolerance oversights.
- ■ Versions out of control: 'quote_v3_FINAL_ok(2).xlsx' — which hourly rate does it use? Updated when?
- ■ Zero queryable history: how many quotes did you win on stainless this year? With what average margin? Excel doesn't know.
- ■ No calibration: the spreadsheet never compares estimate and actual, so it repeats the same mistakes forever.
What dedicated software does that Excel never will
